This policy describes what personal data Sparro processes, what we use it for, and who we share it with — whether you're simply on the sparro.dk waitlist, or a customer using the bookkeeping platform itself.
Data controller
Ceero ApS (CVR 45 44 13 93), Njalsgade 21F, 2. sal, Copenhagen, is the data controller for personal data processed in connection with sparro.dk and the Sparro platform. You can contact us at nicklas@ceero.eu or on WhatsApp +45 31 33 25 99.
What we collect
Waitlist: your email address and the timestamp of your consent. Account: name, email, your company's CVR number and address, and a MitID-based identifier if you log in with MitID. Bookkeeping: invoices, receipts, and the documents you upload or send by email. Bank: transaction and account data from your bank via a PSD2-approved connection, when you connect your bank account yourself. Payroll: payroll-run data via Intect. Employees' CPR numbers are stored encrypted in Sparro so they can be registered with the payroll system; tax cards sit with our payroll provider. Communication: if you enable AI triage of your inbox, relevant emails are read to categorize them and suggest replies; CPR numbers in that text are automatically filtered out before it's sent to an AI model.
Purpose and legal basis
Waitlist sign-up relies on your consent (GDPR Article 6(1)(a)), given by actively checking the consent checkbox — not merely by submitting the form. As a customer, we process your data to perform the contract for the bookkeeping service (Article 6(1)(b)) and to comply with the Danish Bookkeeping Act's retention requirements (Article 6(1)(c)). Optional features such as AI categorization and the accountant marketplace rely on your active choice to use them. You can withdraw consent at any time by contacting us.
Staff and internal access
Sparro employees may, in limited circumstances, access your account and business data through our internal administration tool — for customer support, updating business details, opening/closing accounts, billing and subscription administration, and approving accountant partners on the marketplace. Access is restricted to employees who need it, and views of sensitive customer data are logged. We're building a feature that would let an employee get temporary, read-only access to view your account the way you see it, for troubleshooting a specific support case — never access to change or create anything on your behalf. This feature hasn't been taken into use yet; once it is, you'll always be able to tell: a visible notice will appear in your account while access is active, and the event will be recorded in your account's own activity log with the time and which employee had access. We're continuing to expand how detailed this logging is.
Retention
Waitlist emails are kept until the product launches or you ask us to delete them. Bookkeeping records (receipts, invoices, account statements) are kept for at least 5 years under the Danish Bookkeeping Act, counted from the end of the financial year the material relates to — we can't delete this earlier, even on request, while that period runs. Once the retention period expires, material is reviewed for deletion; automatic deletion isn't yet fully in place for all bookkeeping data, so the period may in practice run longer than 5 years until that manual review has happened. When you dismiss or reply to an email in the AI triage feature, the personal data in it is deleted 30 days later — unless the email has been booked as a receipt or invoice, in which case the sender and subject are instead kept as part of the ordinary 5-year retention. Emails you haven't yet acted on aren't covered by this 30-day deletion. Closing your account freezes it (read-only, and closing can be reversed) — it doesn't delete your data. If you want your data deleted, you need to separately request account deletion, which immediately removes non-statutory data (e.g. push notifications and sessions), while your bookkeeping itself continues to be retained until the statutory deadline has passed.
Your rights
Under the GDPR you have the right to access, rectify, and erase your data, as well as the right to restrict or object to our processing and the right to data portability. Note that the right to erasure is limited for bookkeeping material while the statutory retention period runs. Contact us at nicklas@ceero.eu to exercise your rights. You can also file a complaint with the Danish Data Protection Agency (datatilsynet.dk).
Security
All traffic to sparro.dk and the platform itself is encrypted (HTTPS). Data is stored encrypted at our database provider, and each company's data is logically separated from every other company's. Access to systems that process your data is limited to employees who need it, and certain sensitive views are logged (see "Staff and internal access" above).
Instagram (@sparroapp)
This section applies when you comment on a post on Sparro's Instagram account @sparroapp, send the account a message or mention it. It comes on top of the rest of this policy. It does not change how Instagram itself processes your data: that is Meta's responsibility.
Data controller
Ceero ApS (CVR 45 44 13 93), Njalsgade 21F, 2. sal, Copenhagen, is the data controller for the processing on @sparroapp. You can contact us at nicklas@ceero.eu.
What we process
We only receive what Instagram sends us. We get no access to your account and never ask for your password. What you write yourself can contain anything; we do not knowingly collect sensitive data.
- Comments
- The text, the time and the username you commented with, on our own posts. The text is stored as written. The username is stored encrypted and as a keyed hash, so we can find and delete your comments if you ask. We also store our own sorting of the comment (category, language and risk) and any reply.
- Messages
- The message text (at most 1000 characters, stored encrypted) and your Instagram-scoped ID, a number that only applies between you and our account. Attachments are stored only as a count, never as content or a link. We also store our replies and reply drafts.
- Mentions
- The ID of the post or comment where you mentioned us, and the time. Not the text and not your username.
- Account figures
- Reach, views, likes, number of comments and age groups, as totals only. No individuals and no comment text.
- Log
- Who or what did what and when, counts and cost. The text that belongs to a comment or conversation is removed from the log when the comment or conversation is deleted.
Purpose and legal basis
We use the data to answer people who contact us on Instagram, to run and moderate our own account, to understand what works in our posts, and to be able to check the assistant's work. The basis is our legitimate interest in answering people who write to us and in running our own account (GDPR Article 6(1)(f)). You are the one who makes contact: we do not write to people who have not commented or written to us first. You can object to the processing (Article 21) by writing to nicklas@ceero.eu. We do not sell the data.
Automated processing and AI
- An AI model (Claude from Anthropic) helps sort comments and draft replies to comments and messages. It has no tools and cannot send, hide or reply on Instagram.
- A person at Sparro approves every reply before it is sent. If you write that you want to talk to a person, or it is about personal data, a complaint or legal matters, the assistant hands the case to a person.
- Sparro can set the assistant to hide clear spam on its own, up to a daily limit. This is off by default.
- Before a text is sent to the model, national ID numbers (CPR), phone numbers, email addresses and bank account numbers are removed, and usernames are replaced by a code, so the model does not see your username. The redaction is pattern-based: a name or an address you write in free text is not always recognised.
- When the assistant has drafted a reply to a message, it opens with a notice that you are writing with an automated assistant.
- We do not train a model on your data. The processing does not lead to decisions that have legal effects on you or similarly significantly affect you.
How long we keep it
These periods are the maximum we keep. Sparro can set them shorter, never longer, and anything past its period is deleted automatically.
- Comments
- 365 days from when they were written.
- Messages
- 180 days from when the conversation was closed. If it is still open, counted from your latest message. The conversation, the messages and the reply drafts are deleted together.
- Events from Meta
- 30 days from when we received them.
- Log
- 395 days from when the row was written.
- Deletion memory list
- No end date. See Your rights.
Who receives the data
We do not sell the data and do not share it with anyone else.
- Meta (Instagram)
- The source and the channel: we receive comments, messages and figures from Instagram and send replies back. Meta's own processing is described in Meta's privacy policy.
- Anthropic (USA)
- Redacted comment and message texts for sorting and reply drafts. The transfer to the USA rests on the basis described in the section on who we share data with.
- Neon (Germany)
- The database holding everything mentioned here. Neon, Inc. is a US company, but the data is stored in the EU (Frankfurt).
- Hetzner (Germany)
- The servers the code runs on.
- Bunny.net
- Images and videos for our own posts. Bunny receives no comments or messages.
Your rights
You can ask for access to, rectification, erasure or restriction of your data, or object, and you can complain to the Danish Data Protection Agency, Datatilsynet (datatilsynet.dk). Write to nicklas@ceero.eu and give the Instagram username you wrote with, ideally with a link to your comment. For a message, say roughly when you wrote to us, because we cannot find a conversation from a username. We reply without undue delay and within one month at the latest.
- Erasure: we delete your comments, your messages, events about you and the text in the log that belongs to them. We delete only on our side: what you wrote on Instagram is removed by you or by Meta.
- Memory list: afterwards we keep a keyed hash (no readable text, no username) of your username, your scoped ID and the IDs of the deleted comments. It makes sure what was deleted is not fetched again from Instagram, and it has no end date. If you write to us again after the deletion, we treat it as a new enquiry.
Security
Usernames and message texts are encrypted in the database with keys that exist only on the server. Only administrators at Sparro can delete, and the assistant cannot send anything without a person's approval. If the assistant is paused it stops; deletion and the scheduled clean-ups keep running.
How to have your Instagram data deleted: see the Data deletion page.
Changes to this policy
We'll update this page whenever how we process personal data changes — for instance when we adopt a new processor or feature. Material changes are announced on the page or by email.
